Privacy Notice

Last updated: 20 October 2026

This notice explains what happens to the information you send through the free MRI review form. It describes the current MentiFem workflow; it is not a substitute for advice about the laws that apply where you live.

What we collect

We collect the information you enter in the form: your name, age or date of birth, country and city, contact details, preferred language, symptoms and medical history, your questions for the doctor, and the files you upload.

Uploaded files may contain sensitive medical information. Please upload only what is relevant to this review. Do not send identity documents, payment details or information about other people unless it is necessary for the enquiry.

Why we use it

We use your information to check that the request is complete, contact you, organise an initial review by a partner-hospital specialist, arrange a remote consultation if you want one, and keep records of the consents you give.

We do not sell your information. We do not use your medical information for advertising. Optional health-content messages are sent only if you tick that box, and you can stop them at any time.

Who can see it

Access is limited to the MentiFem team members who need it to handle your enquiry, and to the partner-hospital specialist who reviews your case. We confirm the recipient and the scope of sharing before sending records to a hospital.

We use service providers for hosting, file storage, email delivery and internal notifications. They act on our instructions and should be bound by confidentiality and data-processing terms. We do not send your medical files to an external AI service for automated diagnosis.

Where it is stored and for how long

Records are stored on access-controlled servers and private storage. We keep active cases while we handle the enquiry, then delete the case files according to our retention schedule. The default retention period is 90 days after the case is closed, unless a longer period is required for a treatment relationship or by law.

If you submit a form and do not complete it, we may delete the partial submission after a short period. Backups are rotated and removed on a rolling basis.

  • Active enquiry: retained while the team is handling it.
  • Closed enquiry: files and case notes deleted after 90 days by default.
  • Consent records: kept only as long as needed to demonstrate that consent was given, then deleted or anonymised.

Your choices

You can ask us to access, correct or delete your information, or withdraw your consent for future processing. If you withdraw consent, we may not be able to continue the review. We may need to verify your identity before acting on a request.

You can ask us to stop contacting you at any time. This does not affect processing that has already taken place or records we must keep by law.

Security

We use encrypted connections, private file storage, access controls and audit logs. No system is completely secure. If we become aware of a incident that affects your information, we will assess it and notify affected people and authorities where required.

International transfers

MentiFem coordinates care in China. Your information may be accessed by team members or hospital specialists outside your country. Before sharing records with a hospital, we confirm the recipient and scope. If you are in a region with rules about cross-border transfers of health data, those rules may apply and should be explained to you before you submit.

Changes

We may update this notice when the workflow changes. The date at the top shows the current version. If a change materially affects how we use information you have already submitted, we will contact you where we can.
